What to include on a freelance invoice
- Your name or trading name and contact details, plus your tax number if you’re registered.
- Your client’s name and billing address. For companies, use the legal entity name their accounts team will recognise.
- A unique invoice number and the date you issued it.
- A clear description of the work — the deliverable or the hours, and the period covered.
- The amount due and the due date. “Due in 14 days” is easy to misread; a specific date is not.
- How to pay you: bank details or other payment instructions.
Hourly vs project billing
For hourly work, use one line per type of work or per week, with hours as the quantity. Decimal hours such as 7.5 calculate exactly. For project work, use a quantity of 1 and the agreed fee, or split the fee into milestones so your client can match each line to the proposal they signed.
Deposits and part payments
If your client paid a deposit up front, include the full project on the final invoice and enter the deposit as amount already paid. The invoice will show the balance due, which avoids confusion about what has and hasn’t been paid.
Payment terms that help you get paid
Clear terms reduce late payments. Add them to the terms field, for example:
- “Payment is due within 14 days of the invoice date.”
- “Please quote the invoice number as the payment reference.”
- “Late payments may incur interest where permitted by law.”
Whether you can charge late fees, and how much, depends on your contract and local law. If in doubt, agree terms with your client before you start work.
Working with international clients
Pick the currency you agreed with your client and the number format they’re used to. The generator doesn’t convert currencies, so enter prices in the invoice currency. If you’re registered for VAT or GST, cross-border rules can change whether you charge tax — check with your tax authority.
Frequently asked questions
Straight answers about how the generator works.
How do I bill hourly work?
Enter the hours as the quantity and your hourly rate as the unit price, for example 12.5 × 80. Describe the work and the period it covers in the description.
How do I show a deposit I’ve already received?
Enter it under “Amount already paid” in the totals section. The invoice then shows the total, the amount paid and the remaining balance due.
Do I need a registered business to send an invoice?
In many countries sole traders and freelancers can invoice under their own name. Whether you need to register, charge tax or show a tax number depends on where you work — check your local rules.
Can I customise invoice numbers?
Yes. A number such as INV-0001 is suggested and you can change it to any format. When you start a new invoice, the next number is suggested automatically (INV-0002, 2026-015 → 2026-016 and so on).
Is my invoice information uploaded to a server?
No. Editing, calculations and PDF creation all happen in your browser. An unfinished draft is saved only on your device (in browser storage) for up to 30 days so it survives a refresh, and you can turn this off or clear it at any time. We record cookie-free usage events such as “PDF downloaded” (with approximate country and device type), but never the contents of your invoice.
